We Do It Better: Day-of-Coordination

Event planning terminology can be very confusing. One term that is very misleading is day-of coordination. In this day of Pinterest and D-I-Y projects, a lot of brides are opting to do the bulk of the wedding planning for themselves and to hire a day-of coordinator to ensure that all goes well on their wedding day. While I agree with their line of thinking, I disagree with those who believe their coordinator will simply show up on the morning of their wedding and be able to pull off a fabulous event.   1. We Don’t do “day-of”
    Our services start long before the day of your wedding. Most of my day-of clients sign their contract 6-9 months before their wedding day, and I will begin working two months before the nuptials. Please hear me: I don’t know any professional wedding planners who do literal “day-of” services. Planning a wedding is a huge undertaking, and requires lots of small details that when added up make a big difference. If you are working with a planner who is not familiar with your details, this could spell disaster.
  2. We will wrangle your vendors
    I have heard horror stories from brides about hair-dressers showing up late, bakers getting the cake wrong, or the DJ not playing the correct first dance song. Now, no wedding is perfect, but a lot of mishaps can be avoided with some well-timed phone calls and emails. We will contact all of your vendors 2 months, 2 weeks, and 2 days before your wedding.
  3. We’ll practice with you keep calm and rehearse
    I am always amazed by the number of couples who think that they do not need a wedding rehearsal. Yes, it may seem easy enough, but until you have a wedding rehearsal you don’t know how many options there are when it comes to the professional, and you won’t know if what do you have imagined will actually work with your venue. When you hire Visions by Vaughn LLC for day-of coordination packages, we will coordinate your wedding rehearsal which usually takes place some time during the week of the wedding.
  4. We will keep you on schedule
    One of the greatest benefits of being my client is that you will receive a customized timeline. This timeline will include a breakdown of everything that is supposed to happen on your wedding day. This is invaluable! Everyone who has a part in your schedulewedding (DJ, photographer, venue manager, parents of the flower girl, bridesmaids, etc.) will receive a copy of the timeline so that they know what is going on at all times, and when they are expected to do what. This will also help us keep to any deadlines set forth by your vendors.
